Entity identity & authority

AI SEO work on an organization, person, product, brand, or location starts by making the subject clear. Then it asks a separate question: what useful, independently assessable evidence exists about that subject? Accurate profiles can reduce identity mistakes. They cannot manufacture independent recognition, control a knowledge panel, or guarantee an AI answer.

Start with the task in front of you. Use the entity identity and authority checklist for a systematic review, the canonical entity fact record to establish approved facts, or the entity evidence and independent recognition guide to develop a contribution that others can assess on its merits.

Establish identity before pursuing recognition

Resolve a material identity conflict or ambiguity before seeking independent references or adding more profile detail. Use independent-evidence work only when the underlying contribution is useful on its own; it cannot repair an incorrect controlled fact. The first task is complete when the approved fact, its source, affected representations, and any required recheck are recorded; schedule longer-term recognition work separately.

Establish identity before evaluating authority

An entity is a distinct subject that can be identified and connected to facts and relationships. A name is rarely enough. A good identity record combines the preferred name with the attributes that distinguish it from plausible alternatives, such as a canonical URL, issuing-system identifier, market, location, parent organization, product model, or current role.

Record aliases with context. An acronym, translated name, trading name, former name, and common misspelling each serve a different purpose. Effective dates and transition notes let a reader connect an older reference to the current subject without presenting it as current.

Treat closely connected subjects as relationships, not interchangeable labels. A corporation can own a brand, a person can hold a time-bounded role, and a product family can contain several variants. Each needs its own record when its facts, lifecycle, or ownership must be maintained separately. Schema.org’s Organization vocabulary includes names, identifiers, URLs, and organizational relationships; use it to represent facts the page supports. Its sameAs property is for a URL that unambiguously identifies the same item, not for a news article, review, reseller page, or related organization.

Keep controlled facts consistent without mistaking repetition for proof

First-party sources include the entity’s own website, catalog, feed, official account, media kit, and managed profile. They should agree on material identity facts where the context calls for them. That makes it less likely that an old address, ownership relationship, product status, or name will be copied into a later representation.

Choose one reviewed internal record for each priority entity, then trace changing values to the source system that supplies them. A public page, JSON-LD block, product feed, and profile can show the same mistake when they draw from one outdated record. Correcting the origin is more durable than patching individual displays.

Contextual differences can be accurate. A legal registry may use a registered name, a customer-facing page a brand name, and an independent article a short description. The question is whether each source identifies the right subject and states the relevant fact accurately, not whether punctuation and wording match everywhere.

Treat independent evidence as a different branch

Independent sources make their own inclusion and editorial decisions. Their value depends on whether they are relevant and appropriate for the particular fact. A regulator can establish a license, an academic paper can support a research finding, and an independent review can describe its own evaluation. None automatically establishes every claim about an organization.

The useful work is to identify expertise or evidence the organization can contribute, then make it inspectable. This can be an explained research method, a carefully scoped dataset, an expert explanation of a difficult decision, a transparent comparison, or original evidence with its limits. Repeating a preferred description across profiles is not the same contribution.

Independence also has limits. A listing can be managed by the organization while governed by the platform’s eligibility rules. A registry can accept a submission while controlling its own record. An independent publisher controls its reporting. Describe the control model and use the appropriate correction path instead of treating every source as owned or every reference as endorsement.

Reconcile material conflicts with evidence and restraint

Different descriptions do not always conflict. Open a reconciliation issue when a display creates a factual error, obsolete status, identity ambiguity, wrong relationship, duplicate entity, or material omission. Preserve the observed value and conditions before asking for a change, confirm the approved fact and effective date, then trace the supplying system or publisher.

Prioritize consequence and urgency. Wrong ownership, qualifications, availability, or location can change a decision. A minor description difference usually has less consequence. Source prestige and source control may change the available correction route, but they do not determine severity. Use the entity reconciliation log to keep the observed display separate from the approved record and document a later recheck.

Google’s Business Profile guidelines apply to how an eligible business is represented on that platform; they are not a directory-growth tactic. Google describes knowledge panels as automatically generated summaries built from web sources and, in some cases, data partners. A claimed panel can provide a feedback path, not direct control over every displayed field. Wikipedia’s conflict-of-interest guidance and Wikidata’s item guidance are community-governed; follow their disclosure and evidence rules rather than treating them as organization profiles.

Avoid predictable dead ends

  • Do not use a single identifier for a parent organization, brand, and local branch merely to make markup look connected.
  • Do not add sameAs links until the destination has been checked as the exact same subject.
  • Do not call syndication, copied directory entries, or self-authored profiles independent confirmation.
  • Do not demand that an independent publisher adopt promotional wording when reporting a factual error.
  • Do not present a submitted correction as proof that every downstream display changed.

A short operating sequence

  1. Name the priority entity and the reader or system decision affected by a mistake.
  2. Create or confirm its approved facts, identifiers, relationships, and effective dates in the fact record.
  3. Compare the controlled pages, markup, feeds, and profiles that repeat material facts.
  4. Preserve and reconcile any material conflict at its supplying source or documented publisher process.
  5. If recognition is the goal, develop evidence or expertise that would be useful even without a reference, then distribute it through relevant, legitimate channels.
  6. Record actual independent references and their context. Reassess the contribution when evidence changes; do not infer a guaranteed visibility outcome.

The independent-recognition guide provides the practical contribution path. Return to the checklist when you need to document the complete identity and evidence review.
